Cylinders department (τμήμα φιαλών)
The calibration-gas cylinders team — 3 people handling RFQ-to-delivery for gas-detection calibration cylinders worldwide; the AI-transformation pilot department (REQ-014).
Cylinders department (τμήμα φιαλών)
The first department captured — chosen as the pilot department for the AI transformation (REQ-014). Source: pilot clarification interview, 2026-07-06.
What it does
Handles requests and orders for calibration-gas cylinders: vessels carry gas-detection instruments (gas meters) that must be calibrated frequently against cylinders of certified gas mixtures; the department quotes, sources, and delivers these cylinders to vessels worldwide. Some cylinders are flammable (dangerous goods) — port delivery logistics are the hard part of the trade.

Operating picture (as-is)
- Intake: ~5–10 customer requests/day, ~99.9% English, via the shared Customer Service mailbox (label-assigned) and ~3 customer procurement platforms. ~1,100 cases in the last half-year.
- Systems: Outlook + SoftOne ERP + customer platforms; suppliers are reached by email only (no supplier B2B/APIs).
- Fulfilment: 5 Prime Products offices with stock + port partners + a major UK/US supplier (dangerous-goods licensed, air freight/FedEx) for uncovered ports — named in the sample corpus as Martek Marine Ltd / FastCalGas, Rotherham UK (2026-07-15); physical delivery via the customer-appointed port agent.
- Known pains: ~15 communications per case; vessel port-window misses → 1–2 weeks chasing the next port; manual contract/consumption tracking (largest customer MSC, contract covering ~1,000 vessels); team beyond capacity.
